ABOUT THE CONFERENCE SERVICES PROGRAM

Each summer (June, July & August), the Office of Conference Services at Manhattan College hosts a variety of conference groups through overnight accommodations, meals and dining and the rental of classrooms and meeting facilities. Clients range in size from a handful to hundreds of guests with dreams of experiencing the bright lights of New York City while returning to the accessible and nestled community of Manhattan College. Although some guests are U.S. natives, a majority of our clients are international and vary from teens to adults.

As a member of the Conference Assistant Team you are an ambassador of Manhattan College and greatly contribute to our guests overall experience. The Conference Assistant Team is responsible for supporting the day-to-day operations on campus supporting our client’s pre-assigned program. Duties include preparing for guest arrival in the residential buildings, greeting guests upon arrival, to setting up spaces for educational, social, and formal events, such as dinners, convention seminars, movie nights, etc. The Conference Services summer program provides an opportunity for Manhattan College student’s to develop a quality work ethic while enjoying working with fellow students and campus resources.

CONFERENCE ASSISTANT JOB DESCRIPTIONS           

Conference Assistant Supervisor

  • Typical work schedule includes 30-35 hours per week as assigned. Additional hours per week may be allocated based on demand.
  • Required to perform all tasks listed for a Full-Time Conference Assistant with additional supervisor responsibilities.
  • Strong leadership qualities and comfortable leading a group of peers
  • Attention to detail and strong organizational skills 
  • Ability to communicate clearly and professionally
  • Operating knowledge of Microsoft Office applications such as Word, Excel, etc.
  • Flexibility to handle a variety of assigned responsibilities
  • Develop and lead training programs for the Conference Assistant Team
  • Ability to delegate tasks and follow through on task completion
  • Manage and control inventory of all Conference Service items (linen, equipment, supplies, etc.)
  • The ability to logistically plan a working shift for optimum efficiency
  • Available to work nights, weekends, holidays with a flexible schedule
  • Provide great customer service to clients with the ability to troubleshoot issues that arise
  • Leads by example through a positive, get-it-achieved attitude
  • Daily reporting to the Office of Conference Services Management Team

**Employment period is between Tuesday, May 26th 2015 through Sunday, August 9th 2015. All Conference Assistant Supervisors are expected to be available for work between these dates. Available to work nights, weekends and holidays as needed.

Full-Time Conference Assistant  

  • Typical work schedule includes 30-35 hours per week as assigned. Additional hours per week may be allocated based on demand.
  • Attend required training sessions
  • Maintain cleanliness of  the residence hall dorm rooms, conference spaces and public areas as directed and trained
  • Regularly conduct inventory of linen, furniture, and equipment
  • Set-up and break-down of event conference spaces including audio visual equipment
  • Greet guests upon arrival for check-in and farewell upon departure
  • Ensure the success of conference events via onsite presence and providing customer service and support
  • Maintain organization of dining locations and the flow of guest traffic
  • Represent Manhattan College as an Ambassador for conference guests
  • Ability to problem solve in a fast paced environment
  • Able to work independently while also working well in a team environment  
  • Ability to multi-task and quickly adapt to last minute requests
  • Offer suggestions on program implementation and suitable efficiencies  
  • Ability to lift between 30-40lbs is required
  • Operational experience with computers and audio/visual is a plus. Training will be provided for those who are not familiar with the equipment.

**Employment period is between Tuesday, May 26, 2015 through Sunday, August 9, 2015. All Full-Time Conference Assistants are expected to be available for work between these dates. Available to work nights, weekends and holidays as needed.

Part-time Conference Assistant  

  • Required to perform all tasks listed for a Full-Time Conference Assistant when scheduled to work.
  • Typical work schedule includes 10-15 hours per week as needed. Additional hours per week may be allocated based on demand.
  • Provide overnight security services to conference guests when requested.
  • Part time staff will receive free housing. Meals and pay will be provided only as assigned work/hours

**Employment period is between Tuesday, May 26, 2015 through Sunday, August 9, 2015. All Part-Time Conference Assistants are expected have flexible available to work between these dates. Available to work nights, weekends and holidays as needed.

 

*All Conference Assistants are subject to work on specific projects assigned by the Business Services Office as well. Work schedule may vary including day, evening and weekend hours.
